What Is OCR? A Plain-English Guide

OCR stands for optical character recognition. It is technology that finds text in an image, such as a photo, a screenshot or a scanned page, and turns it into real characters you can select, edit, search and copy. You can try it free in your browser with Image to Text.

What does OCR mean in simple terms?

To a computer, a photo of a page is just millions of colored dots. It does not know that a group of dots is the letter "A". OCR teaches it to recognize those shapes as letters, words and lines, so the picture of a sentence becomes the sentence itself.

How does OCR work?

  1. Clean up the imageThe engine converts the picture to black and white, evens out light and straightens slightly tilted text.
  2. Find the textIt looks for blocks, lines and words, separating text from photos, borders and empty space.
  3. Recognize the charactersA trained neural network reads each line and predicts the most likely sequence of characters.
  4. Use the languageA model of the chosen language helps choose real words when shapes are unclear.
  5. Output textThe result is plain text, often with a confidence score showing how sure the engine was.

What is OCR used for?

  • Copying textGrab text from screenshots, photos and signs instead of retyping it.
  • Digitizing paperTurn scanned letters, books and forms into searchable files.
  • Data entryPull numbers, names and addresses from invoices, receipts and business cards.
  • AccessibilityLet screen readers read text that only exists in images.

Is OCR the same as AI?

Modern OCR uses machine learning, so in a broad sense it is AI. But its job is narrow: return the characters that are on the page. Chatbots that read images can also summarize or translate, and may reword the text. Our guide on AI vs OCR for image to text explains when to use which.

How accurate is OCR?

On clean printed text, very accurate. On blurry photos, unusual fonts or handwriting, less so, and no engine is perfect. See what really affects OCR accuracy for practical fixes.

Can OCR read PDFs?

Yes. Digital PDFs already contain text, while scanned PDFs are images and need OCR. Our guide to extracting text from a scanned PDF covers both.
